Terms of Trade.
1. How We Work - A Collaborative Process
We partner with you to design and build a bespoke experience trolley that reflects your venue’s identity and enhances service moments.
1.1 Briefing & Concept
We begin with a briefing (via call, meeting or email) to understand your functional needs, aesthetic direction and any references. We then prepare a concept direction (moodboard and design intent) as part of our collaborative process — no concept fee applies.
1.2 Concept Review
You review the concept and may request one round of refinement to ensure the direction feels right for your venue.
1.3 Concept Approval
Once the concept is approved in writing, we prepare to move into detailed design. PR will provide a Design Fee quote based on the requirements and concept.
1.4 Design Development
We develop three (3) design options, exploring different interpretations of the approved concept. At this point, PR will issue the Design Fee invoice payable prior to Design Refinement.
1.5 Design Refinement
You select one direction, which we refine through up to two (2) rounds of revisions to produce the final design package.
1.6 Quotation & Engagement
At this point, PR will issue a formal Build Quote with the final design package. This quote outlines build costs and indicative delivery allowances. Work does not proceed until the quote and these Terms of Trade are accepted.
1.7 Design Approval
You provide written approval of the final design before fabrication begins.
1.8 Build & Fabrication
We prepare workshop documentation and begin fabrication with our trusted makers, providing progress updates throughout.
1.9 Delivery & Handover
When fabrication is complete, we organise delivery to your venue. Delivery logistics and fees are confirmed during the build phase and charged on the final invoice.
2. Payment Structure
2.1 Design Fee
An invoice for the Design Fee is issued when the three design options are delivered.
Payment is required before design refinement begins.
Final design documentation is released only once the Design Fee is paid in full.
2.2 Build Payments
Once the final design is approved in writing:
50% Build Deposit is required to secure workshop time and commence fabrication
50% Build Balance is due prior to delivery
2.3 Delivery Fees
Delivery and access costs are quoted during the build phase and charged on the final invoice together with the Build Balance.
All invoices are payable within 7 days unless otherwise agreed in writing.
3. Design Ownership & License
3.1 Intellectual Property
All concepts, drawings, renders, specifications and documentation created by PR remain the intellectual property of Palomar Rowe.
3.2 License to Use
Once the Design Fee is paid in full, you are granted a non-exclusive licence to use the final design solely for fabrication by Palomar Rowe.
3.3 If the Build Does Not Proceed
If you choose not to proceed with fabrication after design completion and payment:
The Design Fee remains payable
PR retains full ownership of all design and technical files
Designs may not be reproduced, adapted or built by any third party without PR’s written consent
4. Variations & Scope Changes
Requests outside the agreed scope (additional revisions, alternate designs, or feature changes) may incur additional fees and may affect delivery timelines. All variations will be quoted prior to proceeding.
5. Delivery & Access
Delivery fees are confirmed during the build phase and charged on the final invoice.
Any special access requirements, venue restrictions or installation needs that affect delivery will be discussed and itemised in advance.
6. Non-refundable Payments
All payments are non-refundable once work has commenced in accordance with the accepted quote and these Terms of Trade.
7. Acceptance
By accepting a quote, paying any invoice or instructing Palomar Rowe to proceed, you acknowledge and agree to these Terms of Trade.
8. Returns, Changes & Faults
Because every Palomar Rowe trolley is custom designed and built to order, we do not offer returns, exchanges or refunds for change of mind once a project has been approved and production has commenced.
Throughout the concept and design stages, we work closely with you to ensure the trolley is functionally and visually aligned with your venue, service style and brand.
Final responsibility for the approved design, finishes and configuration rests with the Client once the quote and final design are signed off.
Once fabrication has begun, Palomar Rowe cannot provide complimentary changes to design, materials, finishes or construction.
Any changes requested after this point will be treated as a variation and quoted separately before proceeding.
If you believe your trolley has a structural or manufacturing fault, please contact us in writing at hello@palomar-rowe.com within 7 days of delivery so we can review the issue and advise on next steps.
